Cancellation Policy

This Cancellation Policy applies to all events organised by HaagHarris ManagementGroup and/or OSFA. By booking or participating in an Event, the Participant agrees to this policy.

Definitions

  • Organiser – the party that organises and runs the Event.

  • Participant – the party that books or takes part in the Event.

  • Event – the event organised by the Organiser.

  • Total Event Cost – the full amount payable by the Participant to the Organiser for the Event.

  • Deposit – the amount paid by the Participant to the Organiser to secure participation.

1. Cancellation by the Participant

The Participant may cancel by written notice to the Organiser. The date the Organiser receives the notice determines the applicable fee.

  • More than 8 weeks before the Event:
    The Deposit is refundable minus a 10% administrative fee.

  • More than 4 weeks and up to 8 weeks before the Event:
    50% of the Total Event Cost is due to the Organiser.

  • 4 weeks or less before the Event:
    100% of the Total Event Cost is due to the Organiser.

2. Request to Transfer Registration to Another Event

If the Participant wishes to transfer their registration to another event organised by the Organiser, they may request this in writing. A transfer is subject to the following:

  • The Organiser must approve the transfer.

  • A suitable alternative event must exist and have available places.

  • If approved, the original booking is treated as cancelled under section 1.

  • The Organiser may, at its discretion, credit any amount already paid toward the new event.

  • Any difference in price must be paid by the Participant.

  • If no transfer is approved, the cancellation terms in section 1 apply.

3. Postponement or Cancellation by the Organiser

Only the Organiser may postpone or cancel the Event.

If the Organiser postpones the Event:

  • The Organiser will notify the Participant in writing as soon as possible.

  • The Participant may choose to:

    • accept the new date, or

    • cancel and receive a full refund of monies paid.

  • No cancellation fee applies to the Participant.

If the Organiser cancels the Event, the Participant will receive a full refund of monies paid.

4. Force Majeure

If the Organiser postpones or cancels the Event due to government restrictions, natural disasters, or verified medical emergencies:

  • The Participant may accept the new date, or

  • receive a full refund of monies paid, excluding hard costs already incurred by the Organiser.

5. Refunds

Refunds are processed within 30 days of the Organiser’s written confirmation of the cancellation or postponement. Refunds are made using the original payment method where possible.

6. How to Send a Cancellation or Transfer Request

All cancellation and transfer requests must be sent in writing to:

Requests are considered received on the date they arrive at the Organiser’s email or postal address.
